The Position:
To support future growth of the firm, we are recruiting for a Personal Assistant/Executive Assistant to support the Chief Executive Officer in their day to day work load.
Daily responsibilities within this position will include:
v First point of contact for callers to the business (we employ a call answering service so calls are minimal).
v Scheduling appointments for the CEO, including telephone interviews with prospective candidates.
v Reviewing resumes and screening against client criteria, rejecting unsuitable individuals.
v Responding to incoming e-mail, correspondence and faxes.
v Producing documents, briefing papers and presentations.
v Keying Vendor invoices and circulating for approval prior to payment.
v Raising & following up client invoices in the USA , UK and Australia .
v Preparing marketing material, executing marketing campaigns and monitoring the results.
v Data entry & maintenance of CRM system.
v Carrying out background research and presenting findings into subjects that the CEO is dealing with.
v Designing and maintaining systems to automate the business and minimize duplication/unnecessary tasks.
v Arranging travel and accommodation when required for the CEO.
v Arranging of dinner engagements, gift purchases, and ensuring the CEO is reminded of important personal engagements.
v Undertaking light domestic duties when the CEO is absent, including laundry to the dry cleaners, forwarding mail etc.
v Representing the CEO in their absence at events and functions as directed.
v Booking of delegates onto training events.
v Other tasks and activities as directed from time to time.
The Person:
Eazyrecruit is heavily influenced through the personality of the CEO. As such, applicants for this position must demonstrate the ability to work professionally and productively in a very informal environment and at times take the lead in initiating work.
You will be relied on to provide efficient support services and discretion and confidentiality are important and mandatory factors to be successful within this post.
